Each job occupies a time block from its start time to its end time, where end time = start time + duration. If job B's start time falls before job A's end time, the two jobs overlap and are flagged as a conflict. This assumes a single crew — if you run multiple crews simultaneously, schedule them in separate tools or duplicate this tab.
Each job has a "drive time from previous job" field in minutes. If the gap between the end of one job and the start of the next is less than the drive time entered, the schedule is too tight — you cannot physically get from job A to job B in time. If drive time is 0 but the two jobs are at different addresses, the tool still flags it as a potential conflict (you need some travel time between distinct sites).
After every job (including its drive-time block), the tool checks the gap until the next job starts. If that gap exceeds 45 minutes, it's flagged as an idle window. Idle time is billable capacity — a short service call, material pickup, or prep work could fill it.
45 minutes is a common industry benchmark for the minimum duration of a service call. Gaps shorter than that are too small to schedule meaningful work; gaps longer than 45 minutes represent lost billing opportunity.
Total crew-hours = sum of (crew size × duration) for all jobs. Utilization = total job hours (excluding drive and idle) divided by the total span from first start to last end. A utilization below 70% means more than 30% of your available time is drive or idle — a signal to cluster jobs geographically or fill gaps.
This is a daily planning tool, not a project scheduler. For multi-week scheduling, use a dedicated Gantt chart or construction scheduling tool. This tool does not account for traffic variability, weather delays, scope creep, or multi-crew parallel scheduling. It assumes a single crew moving sequentially through the day.
